Export to Xactimate

Wave writes a native Xactimate transfer file. Set up your Xactimate profile once, then export from the Inter-Platform Transfer row and import it like any estimate file. Coverage is decided line by line, not by the kind of job.

Some carriers and TPAs want the estimate in Xactimate, not as a PDF. Wave writes a native Xactimate transfer file, so the estimate moves over instead of being retyped.

The feature is called Inter-Platform Transfer in the product — on the export row, in Settings, and in the downloaded filename. Xactimate is where the file goes; the feature name stays neutral.

Set it up first

This is a one-time step, and skipping it is the most common reason a transfer won't import. Every Xactimate install checks the profile code on an incoming file and refuses the file when it doesn't recognize it.

  1. An admin opens Settings → Exports and finds the Inter-Platform Transfer card.
  2. Upload any .esx file your own Xactimate produced. Any estimate will do.
  3. Wave reads your profile code out of it, saves the code, and discards the file.

After that, transfers from your whole team import cleanly. Setup requires a paid plan.

How to export

  1. Open the estimate and click Export.
  2. Choose Inter-Platform Transfer.
  3. Wave builds the file and downloads it (on a phone, the share sheet opens instead).
  4. Import it in Xactimate like any estimate file.

From there it's a normal Xactimate estimate — rooms, quantities, and the lines that carried over, reviewable and editable like anything else in that system. Your room photos ride along automatically and land as Xactimate attachments. There's no toggle for that; it just happens.

What travels

Wave checks the estimate before you click, so the export row can tell you what will happen instead of handing you a surprise.

  • Lines with no counterpart on the receiving side are reported and left out. You can still download the rest.
  • A line whose quantity is still open can't travel until you set it. Wave says which one.
  • Overhead and profit aren't sent as line items, because Xactimate carries them as estimate-level percentages instead. Nothing is lost; it's expressed the other way.

Coverage is decided line by line, not by the kind of job — two water estimates can get different answers depending on what's on them.

That applies across services, not just mitigation. A repairs or fire estimate can transfer too; how much of it travels depends on the lines it carries, and Wave tells you before you click rather than handing you a file that arrives half-empty.

Availability

Inter-Platform Transfer is available on Basic and above, and the export itself is included in the free trial. The one-time setup above is the part the trial can't finish, because saving a profile code requires a paid plan. Until a code is saved, the export row sends you to Settings instead of building a file, so a transfer is something you complete after upgrading rather than during the trial. See Plans and limits.
