Add a note to a line item

Attach a short note to any line. It shows under the line on the estimate and prints on the PDF, so every reader sees the reason behind a number.

Add a short note to any line and it travels with it, on the estimate and on the PDF, so whoever reads the estimate sees why a number is what it is. The note shows under the line's description on the estimate.

You add notes on the job's Estimates tab. You can also ask Wave in chat, for example "add a note on the containment line."

Three ways to open the note

  • Keyboard: select the row and press A or T.
  • Right-click: right-click the line item and choose Add note.
  • Row menu: click the ⋮ on the row and choose Add note.

On a phone, tap the ⋮ on the line's card and choose Add note.

When the line already has a note, the same menus read Edit note.

Write and save

The note opens in its own window with a Note field.

  1. Type the note. Plain Enter starts a new line, so you can write more than one line.
  2. Click Save, or press ⌘↵ (Ctrl+↵).

Esc closes the window without saving.

When to use a line-item note

  • Clarify the math: "2 fans for 2 days" on an equipment line
  • Specify scope: "Tear-out only, no replacement" on a flooring demo line
  • Reference an authorization: "Approved by adjuster on 5/12" on a discretionary line
  • Explain a number: "Negotiated rate per master agreement" on a custom-priced line

Edit or remove a note

Click the note text under the line to open it, or use any of the three ways above. Change the text and save. To remove the note, clear the text and save. The line item itself stays as it is.

Notes can be added or changed when the estimate is unlocked. See Lock and unlock an estimate.

Line-item notes and other notes

  • Line-item note: sits under one line and prints with it. Use it when the context is about that line.
  • Project notes: whole-estimate notes for whoever reads the estimate, on the job's Overview. They print on the estimate PDF. See Project notes.
  • Job notes: your team's internal log on the job's Notes tab, kept for your team. See Job notes.

Notes on the PDF

Line-item notes print with their line on the exported estimate, so write them for the reader. See Export reports.
