Add a note to a line item
Select a row and press A, or use the right-click or kebab menu, to attach a note to a line item. Notes show on the estimate and print on the PDF.
Some line items need a sentence of context that the description doesn't capture. Notes attach that context to a specific line, and they print on the PDF so the customer or adjuster sees it too.
Three ways to add a note
- Keyboard: select the row and press A (T works too). The note field opens for that line.
- Right-click: right-click the line item and choose Add or Edit note.
- Kebab menu: click the kebab (⋮) on the row and choose Note.
Type the note and commit with Enter. Esc cancels.
When to use a line-item note
- Clarify the math: "2 fans for 2 days" on an air-mover line
- Specify scope: "Tear-out only, no replacement" on a flooring demo line
- Reference an authorization: "Approved by adjuster on 5/12" on a discretionary line
- Explain a number: "Negotiated rate per master agreement" on a custom-priced line
Line-item note vs. estimate-level note
- Line-item note: appears under one specific line. Use it when the context is about that line only.
- Estimate-level note: lives on the Info tab and applies to the whole job (deposit terms, scheduling). See Estimate notes.
Editing or removing a note
Use any of the same three paths on a line that already has a note. A opens the existing note for editing, as does right-click Add or Edit note or the kebab's Note action. Clear the text to remove it. The line item itself isn't affected.
Notes on the PDF
Notes print with their line item on the exported estimate, so use language you're comfortable putting in front of a carrier. See Export reports.
