Wave in Your Workflow

Run your company together in Wave

Bring the office and the field into one shared view: start jobs, assign people, keep notes, move statuses and book visits, all in the same place.

Last updated

Wave works as the shared workspace for your whole company. The person who takes the call, the teammate on site, the reviewer at the desk and the owner checking in all open the same jobs, so everyone sees the same picture without a status meeting.

A day in the office

Here is one way a team can spread the work. Roles are examples, so adapt them to how your company runs.

The building blocks your team shares

  1. One list of jobs. Everyone on the team opens jobs from the same Jobs board and the same search. See The Jobs board.
  2. Assign the people. Use Assign at the top of a job's Overview to put teammates on it, and the job shows up first on their Jobs board under Assigned to me. Booking a visit for someone adds them to the job too. See Job details, contacts and team.
  3. Keep one log. Job notes hold what the team knows, with who wrote it and when. Wave reads the notes, so a note from the morning shortens the estimate conversation in the afternoon. See Job notes.
  4. Show where the job stands. The job status tells the whole company whether a job is new, waiting, being estimated, in progress or complete. Anyone on the team can move it. See Track every job with job statuses.
  5. Book the work. Timeline shows who is going where, and anyone can book a visit by dragging a job or telling Wave. See Timeline and Book a visit.
  6. Stay in the loop. On a paid plan, an Admin can connect Slack so new jobs, estimates and notes post to the channels your team already watches, and choose a channel for each alert. See Slack notifications.

Set the team up once

  • Invite people. An Admin invites each teammate from Settings and chooses Admin or Member. See Invite a teammate.
  • Choose roles. Members and Admins both create jobs, build estimates, add notes and book visits. Admins also manage company settings, the team and billing. See User roles.
  • Set your company details. Your company address sets the time zone Timeline uses. See Company info.

Share outward when you are ready

The same job produces what each outside reader needs: a branded PDF, a customer link or a collaborator link for an adjuster. See Share an estimate and Send a preliminary estimate to the adjuster.

Tip

Agree on two small habits and the whole team benefits: write a one-line Job note at the end of each visit, and move the job to its next status when the work moves on. Together they give the next person a clear picture in seconds.
