Job details, contacts and team

Edit a job's customer, property, loss and claim details, add contacts with their roles, assign teammates and write the loss description, all on the job's Overview tab.

Everything Wave knows about a job's people and paperwork lives on its Overview tab. Open a job and pick Overview, or press ⌘2 (Ctrl+2 on Windows). You can edit any of it by hand or by telling Wave.

Rename the job

The job title sits at the top of the Overview, with the job number and when it was last updated underneath. Click the title, type the new name and press Enter.

Edit the job's details

The Job details section shows only the fields that have a value. To change one:

  1. Click the value.
  2. Type the new value. The address opens as Street, Unit, City, State and ZIP.
  3. Press Enter to save, or Esc to cancel.

Each field also has a copy button, handy for pasting a claim number into a carrier portal.

A customer or property can belong to more than one job. Changing a customer's name, phone or email, or a property's address, updates every job that shares that record.

Add or remove fields

Click Add field to see the fields the job doesn't show yet, then pick one and fill it in. The fields are:

  • Customer: Customer, Phone, Email
  • Property: Address, Year built, Square feet, Access
  • Loss: Loss type, Date of loss, Water category (1, 2 or 3)
  • Insurance: Carrier, Policy #, Claim #, Deductible

To remove a field, clear its value and save. Loss type and Water category have a Remove field option in their list. The customer's name can't be removed, only changed.

If the customer is already in Wave, link the job to that record instead of typing a duplicate:

  1. Click the Customer value.
  2. Type at least 2 characters. Wave lists matching customers and companies.
  3. Pick one to link it, or choose to add the name as a new customer or a new company. To fix a typo instead, choose the rename option, which says how many jobs share that customer.

Contacts and their roles

The Contacts section holds everyone else connected to the job.

  1. Click Add a contact.
  2. Enter a Name, then pick a Role: Homeowner, Policyholder, Adjuster, Tenant, Property manager, Agent, Plumber, Referral source or Other.
  3. Choose whether the contact is a Person or a Business, and add a phone and email if you have them.
  4. Click Add contact.

A job holds up to 4 contacts besides the customer. Click any contact's name, role, phone or email to change it. To remove a contact from the job, clear its name and save.

Assign teammates

The Assign button at the top of the Overview puts teammates on the job. Open it and tick each person. Once someone is assigned, the button reads Assigned and shows their avatars.

Assigning is separate from booking a visit. When you book someone on a visit, Wave assigns them to the job too. See Book a crew visit.

Loss description and Project notes

The Estimate details section appears once the job has an estimate or a loss description. Both fields in it print on the estimate:

  • Loss description: the cause of loss in a sentence or two, up to 480 characters.
  • Project notes: notes for the adjuster or customer that print on the estimate PDF. This field belongs to the job's most recent estimate, and it can't be edited while that estimate is locked. It becomes available once the job has an estimate.

Project notes are not the same as the job's Notes tab. The Notes tab is the team's log: Wave reads it, and it never prints. See Project notes.

Update details by telling Wave

You don't have to click through fields. Tell Wave in the job's chat or the Home box, in your own words:

  • "The claim number is 04-2231-778."
  • "Date of loss was September 12. A supply line burst under the kitchen sink."
  • "The adjuster is Mark Ellison, mark.ellison@example.com."

Wave updates the job and confirms with a short receipt. When you name the adjuster, Wave adds them as a contact with the Adjuster role and records them as the claim's adjuster.

When Wave picks up a carrier or claim number while it builds an estimate, it fills a blank field and never replaces one already on the job. To change a value that's already there, say so directly or edit it by hand. You can also ask Wave to remove a contact or clear a field.

When you can't edit

An archived job is read-only. If your company's job records are ever temporarily read-only, a banner says so and the fields stay locked until it clears.
