Wave in Your Workflow

Field draft to desk review

Start the estimate on site and let a teammate finish it at the desk, with a review pass before anything goes out.

Last updated

Use your team's strengths. The person on site starts the estimate while the details are fresh, and a teammate at the desk finishes it with a careful review pass. Both work on the same job, so nothing needs to be re-typed or forwarded.

How it works with Wave

  1. Start the draft in the field. In the job's chat, the person on site describes the loss, adds photos and answers Wave's questions, speaking instead of typing if they like. See Make your first estimate and Use voice input.
  2. Fill in the details. They add contacts and claim details on the Overview tab, log what they saw in a Job note, and record readings if there is a drying log. See Job details, contacts and team and Record drying readings.
  3. Hand it to the desk. Use Assign on the Overview to put the reviewer on the job. The job then shows up first on their Jobs board under Assigned to me. Add a Job note that says what is done and what needs a look. Your chat with Wave stays with you, so a short note is the best hand-off. Move the job to the status your team uses for the next step. See The Jobs board and Track every job with job statuses.
  4. The reviewer reads the whole picture. On a computer, they read the Notes tab, look at the photos on the Files tab, and open the Estimates tab. See Inside a job.
  5. Review for accuracy. The reviewer can:
    • Ask Wave about the photos, for example "Is this enough equipment for this room?" or "Anything in this photo I forgot to scope?" See Ask Wave about photos.
    • Open Estimate history to see who changed what, with the total before and after.
    • Check the Billing checks drawer if your company has uploaded carrier guidelines, and mark each finding Handled or Doesn't apply. See Billing checks.
    • Edit lines in chat or by hand, and add a line note where a line needs an explanation. See Edit a line item via chat and Add a note to a line item.
  6. Keep the field version if you want it. On a paid plan, duplicate the estimate before the review pass to keep a copy of the original draft. See Duplicate an estimate.
  7. Lock and send. When the estimate is accurate, lock it and export or share it. See Lock and unlock an estimate and Export reports.

Tip

Agree on a simple team habit, such as a one-line Job note that says what is done and names the rooms still open. It takes a moment on site and saves the desk a round of questions.
