Book a crew visit

Put a visit on the Timeline from the Timeline itself, from the job, or by telling Wave who goes where and when.

There are four ways to book a visit. Pick whichever is closest to where you are. They all land on the same Timeline.

A few rules apply everywhere:

  • A visit books on an active job. Cancelled and archived jobs can't take new visits.
  • Start times fall on the hour or the half hour.
  • A visit lasts from 30 minutes to 24 hours, in half-hour steps. The job's Schedule button offers up to 8 hours; stretch it longer on the Timeline.
  • A visit needs at least 1 teammate and can have up to 50.
  • Booking someone for a visit also adds them to the job's assigned team.

Wave books in your company's time zone. It sets that zone from your company address. If your company has no address on file, an admin needs to add one or pick the time zone in Settings > Company before anyone can book.

Book from the Timeline

  1. Open Timeline and go to the day you want.
  2. Click an empty spot in a teammate's row, at the time the visit should start. You can also right-click there and choose New appointment here.
  3. The New appointment form opens with that teammate and time filled in. Choose the Job (search by customer, address or job number).
  4. Add a Purpose, like "Initial inspection", and check the Start time, Duration and Team.
  5. Click Schedule appointment.

Drag a job onto the day

On a computer, the Jobs list below the day holds your jobs and the company's other active jobs.

  1. Drag a job card onto a teammate's row, at the time you want.
  2. Let go. Wave books a 30-minute site visit for that teammate right away.

If the job has a visit request waiting (its card says Visit requested), the drop books that request, with the task and length it already had.

Need more time or more people? Drag the visit's end to lengthen it, or click it to change the team. To pick the job first and the time second, right-click its card and choose Schedule on this day.

Book from the job

  1. Open the job. On Overview, next to the assigned team at the top, click Schedule.
  2. The New appointment form opens with the job's assigned team, a Purpose of "Site visit", and today's next half hour.
  3. Set the Date, Start time, Duration and Team, then click Schedule appointment.

Once a visit is booked, the button shows the next visit's date and time with the faces of who is going. Click it again to book another.

Tell Wave who goes where and when

Type or say it in the command box on Home, at the bottom of Jobs or Timeline, or in a job's chat:

  • "Send Marco to the Alvarez job tomorrow at 8 for a moisture check."
  • "Book Dana and Luis at 14 Birch Lane next Tuesday, 9 to noon."
  • "Move Friday's visit on the Park job to Monday at 10."
  • "Cancel the Chen inspection on Thursday."

Relative dates like "tomorrow" and "next Tuesday" work. Wave books it and confirms with a short receipt. You can also ask Wave to request a visit for a job without setting a time; the job then shows Visit requested in the Timeline's Jobs list until someone books it.

When Wave asks who, which job or what time

If you don't name anyone, Wave books the visit for you, and the receipt says who and when so a mix-up is easy to spot. If it can't tell which teammate you mean, it asks and offers your teammates as choices. If more than one job matches the customer or address, it asks which job. If you didn't give a day or time, or what you said is unclear, it asks when. Answer in a word or tap a choice, and Wave finishes the booking.

Change it later

  • On the Timeline: drag the visit to a new time or teammate, drag its ends to change the length, or click it to edit the task, date, time and team.
  • By telling Wave: ask it to move or cancel the visit.
  • Right-click a visit for Duplicate or Cancel appointment.

Bookings, moves and cancellations show up in the job's Notes log. Pick the Schedule filter there to see only those.
